What Needs to Be Included in a Letter Telling Your Landlord You Are Moving Out?
You must notify your landlord when you decide to move out of your rental. Notifying your landlord the right way -- by sending him a notice in accordance with your lease -- will help you get your security deposit back and keep your relationship with your landlord in good standing. Properly formatting your notice will prevent any problems.
Header
Include a formal header on your written notice. Start your header with the current date. Most lease agreements state how much notice you must give a landlord before you move out, such as 30 days, and including the date will give you proof that you sent the notice in time. Follow the date by including your landlord's full name and the address to your current rental. Include each piece of information on a separate line.
Notification
Use the body of your notification letter to inform the landlord that you plan to move out and not renew your lease agreement. Start your notice by stating that you plan to move out by a certain date. Include any details you can provide, such as your plan to return the keys to the landlord. End your notice by stating that you would like your security deposit returned in accordance with your lease. Provide your landlord with instructions on how you would like him to return your security deposit, such as mailing it to your new address.
Move-Out Date
Include a move-out date within the body of the letter. Your move-out date must fall within the terms of your lease. For example, if your lease ends on the last day of September, you must move out on or before that date. If you do not move out by the end of your lease, your landlord can consider you a hold-over tenant and charge you for another month's rent.
Forwarding Information
Include your new address or a forwarding address that your landlord can use for future correspondence. Your landlord will use this address to reach you after you move out of your rental unit. For example, your landlord will mail your security deposit to your forwarding address. If you do not include a forwarding address, your landlord will not be able to reach you and may have grounds to keep your security deposit.
